If you start to look at online project management software, you’ll quickly find that most modern systems may be defined as either task-based or file-based.

So, for example the first file(s) are the technical drawings or blueprints for the construction of the building. Further technical drawings may follow for the electrical and/or mechanical/heating installations, landscaping, access roads and civil construction. Further files or “Documents” may include detailed specifications of the materials and products that need to be used; even images supporting and enhancing the documents may be included.

The process starts with an agreed schedule of documents, which usually form the basis of a contractual commitment. Tasks, events, milestones and comments evolve around those tasks, without ever losing sight of the fact that these very documents form the basis of the contract and project undertaken. So, file based project management systems would generally be the better choice for more complex projects or, projects where a more detailed specification is required.
